  • Confirm venue & vendor contracts.
  • Confirm the number of meals (breakfast/lunch/tea) and menu provided by hotel
  • Review & reconfirm hotel meeting space & room block. Monitor attrition cut-off dates.
  • Plan social activities and tour programs, if applicable. and add to the registration site
  • Work with w/vendors/venue to finalize room layout, AV, food & beverage, & signage. Finalize volunteer assignments.
  • Create Event Emergency Plan & share it with the conference committee, volunteers, & vendors on-site
  • Order on-site items: registration materials, final program, proceedings, signage, giveaways, and items to promote next year's conference. Ship to site.
  • Arrive at the conference location at least one day prior to the conference start. Confirm on-site logistics with the venue.
  • Monitor on-site activities & hold meetings with key organizers, vendors, and venue as needed.
